Final Report Format

These documents are also available at the FLICT office.
Reports can be submitted in Sinhala, Tamil or English, and should comprise 7 pages plus annexes. In writing your final report, refer to your original project proposal and progress report. Please note that the final instalment will only be released after a satisfactory final report has been submitted to FLICT.

General Information:

Cover Sheet (should not exceed 1 page)

  • Name of organisation, address, telephone no., contact person etc
  • Project title
  • Target areas actually covered
  • Brief reporting summary: What are actual changes that your project has achieved? (1/3 page)
  • Actual implementation period
  • Actual costs/ expenditure against initially requested budget
  • Signature of person responsible, date and place

Evaluative Report:

1. Present Situation in your Project evironment

Revisit your initial conflict analysis in your project proposal: Has the conflict situation and conflict environment changed?

2. Outcomes and Impact of your Project

a) Which of these changes in your conflict environment, if any, can be attributed to your project (Impact / Outcomes)? Which project outputs have lead or contributed to the changes in your conflict environment? Do your target groups or beneficiaries use your project outputs? Which expected changes did not take place? Use your indicators and means of verification, as defined in the proposal, to assess your achievements.

The assessment based on indicators should match with or at least refer to the matrix in the proposal:

3. Unexpected Negative and Positive Impacts

a) What went wrong? Can you observe negative changes in your project environment that your project itself has caused or contributed to?

b) Can you observe any unexpected positive changes in the project environment that your project has contributed to?

4. Lessons learnt and future options (min. 1 page)

a) Having assessed your actual outcomes and impacts: Do you see a need for changes in your implementation strategy for future projects? Were the activities, outputs and use of outputs appropriate? What do you need to do differently?

b) What can you, FLICT or other partners do to cope with or change the above-mentioned negative factors?

c) Where do you see internal weaknesses or challenges in your own organisation?

5. Sustainability

Revisit your proposals account on how to ensure sustainability of your project institutional, financial): To what extent were you able to achieve these goals? Any new ideas?

Assess people's participation and use of the outputs of the project: How many direct and indirect beneficiaries have you approximately reached? How many will continue to use the outputs of your project?

6. Monitoring and Evaluation:

Assess your monitoring and evaluation procedures: Were they focused on impacts / outcomes? Is your documentation helpful for learning and improved planning in the future? What would you do to improve the documentation and monitoring aspects of your project? (Please attach external evaluations that have been done regarding your project and other documents produced by the project such as case studies, conflict analysis etc)
